Before you automate follow-up, check your agency website

What a scan of insurance agency website addresses tells us about request forms, service routes and the handoff to your team.

An agency owner can spend time improving how calls and inquiries are handled while overlooking the place where some of those inquiries begin: the website.

Does a visitor know how to request help? Does the request reach the right person? Is there a clear next step when the office is closed?

Our team at Insurance Agency Sites examined 2,735 website-address records associated with insurance agencies in Florida and Texas. The September 8, 2026 scan, corrected on September 10, gives agency owners a reason to check those basics.

What the website scan can tell us

The corrected scan classified 2,292 records as live websites. It identified another 93 responding records as parking pages, placeholders or other non-agency-site responses.

Among the live websites, no HTML form was detected on 46.5% of homepages. That does not mean those agencies had no forms anywhere. A request form may be on another page or loaded through an embedded tool that the scanner did not see. It does mean the next step deserves a human check.

We also learned why automated reports need care. Of 350 recorded addresses that initially failed retrieval, 197 were classified as blocking automated access and another 24 loaded on retry. An automated failure is not enough to tell an agency that its website is down.

These are record-level counts from our prospect lists, not a representative industry survey or a count of unique websites. Some records share the same domain. It did not measure missed inquiries, sales or customer experience.

Walk through one request from beginning to end

Try a clearly labeled test on your own website. Start on a phone, open the homepage and follow the route a visitor would take to contact the agency.

Then follow the request inside the business. Which inbox receives it? Does someone take responsibility for it? Is there a backup when that person is away? Does the visitor receive a clear acknowledgment?

Repeat the exercise for a routine service request. For agencies serving trucking businesses, a certificate-of-insurance request route can be useful. Policy-change requests and carrier billing or claims links may also help existing clients find the right destination. Request forms should never imply that submitting information binds or changes coverage or automatically issues a certificate.

Give automation a defined job

Before adding any automation, write down the handoff you want it to support: what information should be collected, where it should go and when a person needs to take over. Confirm the chosen tool actually supports that workflow before relying on it.

The website and the response process need to work together. A website correction might be enough to resolve one problem; a separate conversation about handling calls and service requests can address another. Neither requires assuming the agency needs a complete rebuild.
