Certificates issued,
calls answered,
inbox cleared.
Inside the AMS your insurance agency already runs. Standard certificates go out from your policy data in minutes, any hour, with your agency as issuer of record. Calls are answered on your existing number, after hours and overflow first, and logged to the client file. The service inbox arrives sorted, every reply waiting for your approval.

Every integration, with what it doesAbout 550 hours back to the whole team last quarter.
Goodwill Financial is an independent agency in Chicago. Last quarter InsuraMate answered about 1,200 of their calls, worked the inbox and issued the standard certificates, and across all of it the portal counted about 550 hours returned to the team. The portal counts minutes per task, measured in production, times the tasks completed.

“My agents were spending hours every day on calls that didn’t need them. ‘What’s my deductible,’ ‘send me a COI,’ billing questions. InsuraMate handles all of it now. They got their afternoons back.”
84 seconds of a real Goodwill customer call. The caller matched in the AMS, the summary written while you listen.
Three pieces of work, finished inside your systems.
Certificates
A certificate of insurance request arrives by email or text. InsuraMate matches the policy in your AMS, issues the standard certificate, sends it and logs it on the client file, in minutes, any hour. Vehicle-schedule certificates are included, and every VIN is checked against the policy before anything goes out.
Requests for additional insured, waiver of subrogation or primary and non-contributory wording go to your licensed person with the request parsed and the policy already matched. Special wording, missing fields and duplicates stop.
Calls
Every call on your existing number is answered in the caller's language, 85 languages with a mid-call switch, after hours and overflow first. The caller is matched in your AMS, the summary and recording are logged, and new callers become leads. Transfers check the person's calendar first, offer a callback, and ring the whole team if no specialist is free.
Inbound only. It never places a call, never states a premium and never binds. Callers are told they are speaking with an automated assistant, and you write the greeting yourself.
Service inbox
A shared service inbox at an agency this size takes thousands of messages a month, and most of it is carrier marketing and bulk mail. It watches that inbox and the SMS line, clears the bulk, surfaces client work and carrier notices, and drafts the routine replies.
Every draft waits in your own inbox for a person to approve. Nothing sends itself.
Built for independent insurance agencies of 7 to 25 people: personal lines, commercial lines, and trucking and commercial auto books. It is software, running inside your AMS and your phone system.
How it handles a trucking agency's 2am certificateBetter unissued than wrong.
About 400 standard certificates to date, and not one went out with a field that did not match the policy in the AMS. The AI reads the request and decides nothing. Software checks every field against your AMS. Anything it cannot verify stops and goes to your licensed person with the request attached. The holder's name and address come from the written request, and the request is kept as the record.
You stay issuer of record.
Your license and your judgment stay in charge of every certificate that goes out.
AMS data, never a conversation.
Certificates generate from the policy data in your AMS, never from something a caller said on the phone.
Written intake is the audit trail.
A written request is a document. When someone asks in nine months why a certificate went out, the answer is a file, not a recollection.
Never guesses.
Special wording, a missing field, an unreadable request or a duplicate stops the job and routes it to your team with the reason attached.
On calls, it never quotes or binds.
It does not state a premium or a coverage answer from memory. A claim is detected and routed without taking details. Inbox drafts never send themselves.
Your data stays yours.
Single-tenant on AWS, one agency per deployment. Field-level encryption on the most sensitive data. Credentials vaulted, scoped to your agency and revocable by you. No training of shared models on your calls or client records. Every read and write against your AMS is logged to the call or request.
Nobody at your insurance agency was hired for this work.
The after-hours call belongs to whoever carries the phone that night. The Monday certificate is a licensed agent's. The service inbox is a CSR's morning. About five minutes of admin follows every call, and it lands on whoever is nearest.
Your payroll does not drop. What changes is what your licensed people spend the day on.

These figures are from our demo workspace, not a customer's. The volumes are modeled on a live agency rather than taken from one, because another agency's traffic is not ours to show, and yours will not be either.
Connected in one to two weeks. Live when you say so.
Then it runs in shadow mode on your real calls and certificate requests, usually two more weeks, and issues nothing until you say go.
- Step 1
We connect
Your phone system and your AMS. Your number stays your number.
- Step 2
You load
Your greeting, your SOPs and your knowledge base. You edit them yourself in the portal, any time.
- Step 3
It shadows
On your real calls and certificate requests. It issues nothing and answers nothing. Your team reads what it would have done.
- Step 4
You say go
Evenings, weekends and overflow first if you prefer, and you decide when it widens.
What your team sees.
- Transfers check the calendar first, so nobody gets a call while they are in a meeting or on leave.
- One click claims a call, so two people never ring the same client back.
- Every inbox draft waits in Outlook or Gmail for approval, not in a new tool.
- Call summaries and certificates land in the AMS activity on the client file.
Nothing goes live until your ops manager says go.
Two minutes inside the portal
Priced on the people you connect, never on the calls.

Quoted for your agency
Single-tenant on AWS. We never train shared models on your customer data.
How the two tiers compareFifteen minutes with Aiste.
Tell us your team size and which AMS you run. We walk through a call and a certificate request the way your customers send them, on your AMS, and the quote is in writing the same day. No SDR and no chatbot. If the numbers do not work at your volume, we will say so on the call.
Five questions we get before the call.
Will it work with my AMS?
Live today on the AMS side: Nexsure, AgencyZoom, QQ Catalyst, AMS360 and NowCerts. On the CRM side: Keap. Email runs on Outlook or Gmail, alerts on Microsoft Teams, voice and SMS on Twilio, and transfers check the agent’s Outlook or Google Calendar before they ring. In rollout: HawkSoft, Applied Epic, Salesforce, HubSpot and Slack. Tell us what you run and we will confirm where it stands on the call.
What happens when it cannot handle a call?
It transfers to the right person: one who speaks the caller's language and handles that specialty, chosen round-robin and by the priority order you set. It checks that person's calendar first, so if they are in a meeting, off, or on leave it does not hand the caller to them. It offers a callback or routes to whoever is free, and rings the whole team if no specialist is. The caller never hears the handoff.
Do I need a new phone number?
No. Keep your existing main line. Calls forward to InsuraMate for the hours you choose, and you can pull the forward back yourself at any time.
Does it make outbound calls, or only answer?
It answers. InsuraMate is built for inbound. Every incoming call is picked up in the caller’s language and matched to your AMS. It does not place outbound or sales calls.
Where does my customer data live, and who can see it?
On AWS, in a single-tenant deployment that serves only your agency. Field-level encryption protects the most sensitive customer data. Credentials are vaulted, scoped to your agency and revocable by you. We never train shared models on your calls or client records, and every read or write against your AMS is logged and attached to the call or request it came from.
